Job Description
The Intake Coordinator serves as the first point of contact and front office receptionist for the Academic Advising unit in the Highlander Success Center (HSC). This position provides excellent customer service to a wide range of clientele, including students, families, faculty, university administration and other visitors. Engages directly with visitors in person, via telephone, and email to determine what services each individual needs and guides them to the appropriate person or campus resources. Follows university/state policies and procedures and utilizes various databases and electronic systems. Provides support to the HSC Office Manager, as needed, to issue, monitor, maintain, and reconcile purchasing requests, travel requests, and reimbursements, manage office equipment maintenance, and maintain office supplies. Engages in special projects and other administrative duties, as assigned. Highly involved in the hiring, training, assessment, and daily supervision of student employees. Works with graduate students in partnership with Advising Coordinators to complete large office projects and call campaigns to current students. Reports to and serves as proxy to the HSC Office Manager.
Required Qualifications
• High school diploma or equivalency required
• Exceptional customer service experience and organizational soft skills, including the ability to work empathetically with people from diverse backgrounds.
• A self-starter with the ability to anticipate needs/gaps and plan solutions.
• Experience in making independent judgments, analyzing, problem solving, managing multiple tasks, and working independently.
• Excellent communication, interpersonal, organizational and time management skills.
• Proficient with current office software such as Microsoft Office.
Preferred Qualifications:
• Experience in fields handling confidential data and information while working with the public (like higher education or healthcare).
• Some experience leading a team or students.
• Experience interpreting, and applying university, state, and federal policies/procedures.
• Previous experience/knowledge working with Banner, Starfish, or similar student data systems.
• Ability to gather data, compile information, and prepare reports.
